FAQ FOR
EVENT ORGANIZERS
Canada has unique climate-related issues that require collaboration among various parties to agree on solutions and put them into action. CCWX events are expected to contribute to collective Canadian climate action.
Qualifying as an official CCWX event provides organizers with exposure to a broad audience interested in helping Canada meet its climate goals. In addition to the CCWX website, CCWX Founding Members will support official CCWX events with other channels of promotion.
The goal of Canada Climate Week Xchange (CCWX) is to attract, curate and promote a variety of accessible action-oriented events that focus on Canada’s unique perspective and situation on climate-related issues. It is for that reason that CCWX is open to nearly any type of event structure; whether in-person, hybrid, virtual, invite-only, or in some cases recorded, so long as available during CCWX. Event types could include, but are not limited to:
• conferences/think tanks
• webinars/seminars/panel/fireside discussions
• workshops/roundtables
• exhibitions/performances
• school/college/university organized activities
• grass-roots community activities
We encourage events to take place across Canada to give interested parties exposure to a variety of content from wherever they are located across the nation.

The CCWX initiative will be promoted throughout the year by its Founding Members (www.ccwx.ca/foundingmembers)at events that occur during the rest of the year and through their networks. All official CCWX events are also obligated to promote CCWX and its website. A cadence of email updates will be disseminated to those who sign-up for CCWX updates, designed to highlight new official CCWX events. Social media channels will be leveraged throughout the year, where appropriate.
Approved event organizers must review and agree to the Terms and Conditions,(https://www.ccwx.ca/eventeligibility) which contain further details on obligations. In short, organizers must:
1. Promote CCWX and its website, which includes hyperlinking to the CCWX website.
2. Use the CCWX marks and disclaimer in accordance with the Marks Guidelines, supplied upon event approval
3. Request review of all pre-production CCWX materials ahead of publication
4. Provision CCWX with select information within 30 days following your event(s)
• a summary of your event(s);
• the number of speakers
• the number of attendees; and
• any images, videos, web streams, films or photos of your event(s).
Event organizers must agree to the CCWX Terms and Conditions and fill out the application form (www.ccwx.ca/apply)for consideration. CCWX event submissions are reviewed prior to approval. The review process is to ensure events align with the CCWX mission and goal.(www.ccwx.ca/about)
CCWX encourages a variety of different event organizers, as it can assist in attracting a broad cross-section of participants. CCWX looks forward to receiving submissions from groups like:
• All levels of governments
• Public and private businesses
• Community groups
• Academic institutions
• Performance and art groups
• Not-for-profit organizations
• Individuals
Generating broad Canadian reach and impact through CCWX events is paramount.
In-person or hybrid events should take place within Canada. Organizers/hosts do not need to be Canadian and virtual events don’t need to be hosted within Canada, so long as they meet the CCWX eligibility requirements and occur during hours and time zones that allow for Canadian participation.
No, events can have a cost for attendees. The event description should include the fee detail.
There is no cost to event organizers to become an official CCWX event. However, obligations associated with CCWX are outlined in the terms and conditions.(www.ccwx.ca/eventeligibility)
The application deadline is Friday, October 30, 2026. Early approval of an event provides more time for event promotion.
After publication on the CCWX website, only absolutely necessary changes will be permitted but no later than Friday, October 30, 2026. In the rare instance of changes or cancellation, email CCWX (www.ccwx.ca/about)as early as possible. Event organizers will be responsible for the communication of changes with their confirmed registrants.
